MLS and TMS Integration to Constellation1 Accounting

This article highlights the steps to import data from third party applications such as MLS (Multiple Listing Service) or TMS (Transaction Management System).

Office Mappings

From the Sales module > Processing > select MLS/TMS Integration

Ensure Offices have been entered prior to this step. To set up offices, navigate to System>>Setup>>Offices

MLS Offices ID’s are automatically populated from the system and if the MLS/TMS transactions are attached to a specific office, the import will include the Office(s) name(s), which will be displayed accordingly. If the MLS/TMS transactions are all recorded under one (1) Office, we suggest the following:

  1. Contact MLS/TMS to inquire about multiple offices option.
  2. Map to the Office with the most volume of transactions and once imported you can manually edit the office via the Sale Transaction.

In the ‘Map To’ column, select the available Office and match the values accordingly. In the ‘Import?’ column, place check which will trigger the import for all activity specific to the Office(s).

Note that you can only import transactions (Retrieve) after at least one office has been mapped under the Map To column.

Import Statuses

Select transaction statuses to include in the import. Note: New transactions are imported as Pending, regardless of status in third party MLS or TMS systems.  The closing needs to be performed in Constellation1 Accounting using the standard closing process because of many data changes that happen during this process.

Referral Settings

Referral Settings are optional; if importing referral transactions, select the values from the drop down menus for Class, Account, or Check Resp. If these settings are blank, the third-party lines in the transactions will be missing required fields which will have to be filled out.

Value Mappings

Value Mappings are optional, similar to the referral settings. If the value is not selected, but included in transactions, the imported transaction(s) will be missing the information, which will need to be entered manually.

Please note, there is no Save button as information is automatically saved when moving between tabs or selecting Retrieve.

Retrieving/Importing Transactions

Select date to “Get Changes Since” > click Retrieve

The grid will display all retrieved transactions. Note that missing values will not interrupt the process, just be advised that some information will have to be added manually. For example:

Select the transaction(s) for import to Constellation1 Accounting, by default this will be set to All. Deselect any transactions that should be omitted from the import, or select None to deselect all.

Click Import Selected

The report will display the import statuses of the transactions: completed or failed. In case of failed status, the report provides an explanation; for example “Multiple agents with e-mail address

Note that agents are identified by email address so if the email address is not the same in MLS or TMS system from the one registered in Constellation1 Accounting, the email is displayed in red and the agent will not be added to the transaction as part of the import process.

NOTE: Skyslope will import the Agent only, it will not import the Co-Listing or Co-Selling Internal agent, so you will need to manually add once the transaction is initially imported.

Updates to existing transactions

In general, field values are updated in Constellation1 Accounting, if the value transmitted via API is not null or blank. If the third party system does not have a value for a particular field, and users manually enter the value in Constellation1 Accounting, that value will be retained.

Changes that the import process will not make

If agent changes, the new agent will be added to the sale in Constellation1 Accounting (if matching email detected) but other agents already part of the sale in Constellation1 Accounting will not be removed

Changes to sale Entities: new entities synced via the API will be added to the sale but entities that existed in the system will not be removed.
